Terms & Conditions
1. About these terms
These terms govern your use of this website and any enquiry you submit through it. By accessing the site or submitting a form, you confirm that you accept these terms. If you do not accept them, please do not use the site. Our Privacy Policy forms part of these terms.
2. Who we are
This website is operated by Redoak Publisher [FULL LEGAL ENTITY NAME], registered in [England & Wales / jurisdiction] with company number [NUMBER], registered office at 224 Pembridge Road, London W11 3HL, United Kingdom. Contact: info@redoakpublisher.com.
3. What this website does
This site provides information about our publishing services and allows you to submit an enquiry. It is not an e-commerce store: no prices are published, no payment is taken online, and no contract for services is formed by submitting a form.
4. Enquiries, quotes and how a contract is formed
- You submit an enquiry (optionally selecting Bronze, Silver, Gold or a Custom package).
- We review it and contact you to clarify scope, word count, genre, format and timeline.
- We send a written, personalised quote setting out deliverables, revisions, timeline and fees.
- A contract is formed only when you accept that quote in writing and pay any agreed deposit [and sign our publishing agreement].
Package descriptions on this website are indicative. Final inclusions depend on your manuscript, format, illustration requirements and chosen distribution channels, and will be confirmed in writing before any work starts.
5. Packages
- Bronze, Essential Publishing: essential formatting, cover design, eBook and/or paperback preparation, Amazon KDP assistance, ISBN/barcode guidance where applicable, and publication guidance.
- Silver, Professional Publishing: adds editing and proofreading, enhanced cover design, professional interior formatting, paperback/hardcover/eBook setup, listing optimisation, A+ Content assistance where eligible, and account setup guidance.
- Gold, Premium + Author Branding: adds author website design, branding and positioning, social profile setup, series support, promotional content planning, marketing strategy, additional distribution setup subject to eligibility, and dedicated project coordination.
- Custom: a package built from the services you actually need.
Third-party eligibility criteria (for example Amazon A+ Content, hardcover formats or expanded distribution) are controlled by those platforms and may change; where a feature is unavailable for your book we will tell you and propose an alternative rather than charge for it.
6. Your responsibilities
- You own or have the full right to use everything you send us, text, images, quotes, trademarks and any third-party material, and you indemnify us against claims arising from your materials.
- You will provide accurate contact and project information, and feedback within the agreed review windows. Delays in feedback move delivery dates accordingly.
- You will not submit content that is unlawful, defamatory, hateful, infringing, or that we reasonably consider unsuitable for publication. We may decline or withdraw from any project on that basis.
7. Intellectual property
- You keep your copyright. We do not take ownership of your manuscript, title or characters.
- You grant us a limited licence to use your materials solely to deliver the services you have engaged us for.
- Ownership and usage rights of deliverables we create (cover artwork, interior files, illustrations, website) transfer to you on [final payment], as set out in your publishing agreement. Working files, fonts and stock licences are subject to their own licence terms, which we will disclose.
- We may list your published book and show cover artwork in our portfolio and marketing only with your written permission, which you may withdraw at any time.
8. No guarantees
We provide professional publishing, design, illustration and marketing services. We do not guarantee sales figures, income, bestseller status, chart or search rankings, retailer placement, acceptance by any distributor or platform, review coverage, or any particular commercial outcome. Any statement on this website describing typical work, packages or timelines is an estimate, not a promise of results. Third-party platforms (including Amazon KDP) apply their own review, content and account policies, and decisions they make about your book or account are not our responsibility.
9. Fees, payment and refunds
- Fees are quoted per project in writing and are exclusive of any applicable taxes (VAT/sales tax) unless stated.
- Payment terms: [e.g. 50% deposit to reserve the slot, balance before final file delivery].
- Quotes are valid for [30 days] and may change if scope changes.
- Cancellation: if you cancel after work has begun, you pay for work completed to that point plus any third-party costs already incurred [e.g. ISBN purchase, stock licences].
- Refunds: [state your policy clearly, for example, deposits are non-refundable once the project has started; unused portions of prepaid services are refundable at our discretion].
- Once files have been delivered to a retailer and published, we cannot recall them, so refunds do not apply to publishing actions already completed at your instruction.
10. Revisions
Each project includes the number of revision rounds stated in your written quote [e.g. cover: 2 rounds; interior: 1 round]. Additional revisions are charged at the rate given in the quote. Revisions must relate to the original brief; a change of direction (new genre, new concept, complete rewrite) is treated as new work.
11. Acceptable use of this website
You agree not to: submit false or misleading enquiries; upload malware or attempt to disrupt the site; scrape, probe or attack our systems; bypass our form protection; impersonate any person; or use the site in a way that infringes anyone's rights. We may block access to anyone who breaches these terms and may report unlawful activity to the authorities.
12. Availability, links and third parties
We aim to keep this website available and accurate but do not warrant that it will be uninterrupted or error-free. Links to Facebook, Instagram, YouTube, WhatsApp, Trustpilot and Amazon are provided for convenience; those sites are governed by their own terms and privacy policies, which we do not control.
13. Liability
Nothing in these terms limits or excludes liability that cannot lawfully be limited or excluded (including death or personal injury caused by negligence, or fraud). Subject to that, our total liability arising out of or in connection with the website or the services is limited to [the fees paid by you for the relevant project / £X], and we are not liable for indirect or consequential loss, lost profits, lost sales, loss of reputation or loss of data where the loss was not reasonably foreseeable. This does not affect your statutory rights as a consumer.
14. Data protection
Our collection and use of personal data is described in the Privacy Policy. By submitting an enquiry you confirm the details you provide are accurate and that you are authorised to share them.
15. Changes to these terms
We may update these terms to reflect changes in our services, technology or the law. The version in force is the one published at the time of your enquiry, with the "last updated" date shown above.
16. Governing law and disputes
These terms are governed by the laws of [England and Wales], and the courts of [England and Wales] have exclusive jurisdiction, except where mandatory consumer-protection law in your country of residence gives you additional rights, in which case those rights are preserved. Before starting proceedings, both sides agree to attempt resolution in good faith by direct discussion [or mediation] for at least [14 days].
